Purpose & Scope
This Photo Policy covers: (a) camp photo albums; (b) staff uploads from current and prior years; and (c) community submissions from units, families, and Scouts. It summarizes our practices and expectations for photo content on the Service.
Note: This is a concise summary for convenience and does not replace the Terms of Service or Privacy Policy. If anything here conflicts, those policies control.
Consent & Age Rules
- No accounts may be created for users under age 16.
- Photos of minors require consent from a parent/guardian or the unit leader who has authority to provide media consent for the event.
- Do not submit photos if you lack permission from the individuals pictured (or their parent/guardian, if a minor).

What We Accept
- Camp-related, positive, and safe content: activities, achievements, nature, facilities, stewardship, and program highlights.
- No sensitive personal documents (IDs, medical forms, rosters) in frame.
- Avoid visible geotags or location details if safety-sensitive; do not include GPS coordinates in captions.
- Only submit photos you created or have permission to share.
Prohibited Content
- Illegal, harassing, hateful, violent, dangerous, or unsafe content.
- Sexual content, nudity, exploitation of minors, or sexualized depictions.
- Doxxing or exposure of personal data (home addresses, phone numbers, medical info).
- Third-party intellectual property without permission (logos, art, commercial images you don’t own).
Edits & Metadata
- We may make basic edits for quality or layout (crop, rotate, resize, optimize, mild exposure/contrast adjustments).
- We do not use embedded EXIF or GPS data for tracking and may ignore or strip it; however, removal is not guaranteed.
- How to strip metadata: most phones offer a “Remove location data” option in the share dialog; you can also export a screenshot or use a metadata removal tool before upload.

Licensing
By submitting photos, you retain ownership and grant Camp Trask a limited, non-exclusive, worldwide, royalty-free license to host, store, display, adapt (e.g., crop/resize/optimize), and distribute the photos for camp purposes only (albums, internal communications, and similar). Any broader marketing use will be requested under separate permission.

Prior-Years Photos
Camp staff may upload or re-upload photos from previous seasons for historical or album completeness. If you, your Scout, or your unit appears and you want a photo removed, email legal@camptrask.com. We will review and respond within 10 business days.
Removal Requests
Who can request:
- Individuals pictured or their parent/guardian (for minors).
- Unit leaders representing the pictured unit.
- Original photographers/rights holders.
What to include:
- The album/page URL and, if available, the photo URL.
- A brief description or screenshot that identifies the photo.
- Your relationship to the person(s) or work and your request (remove, blur, crop, etc.).
Email requests to legal@camptrask.com. We target a response within 10 business days. We prioritize urgent safety issues and remove or hide content promptly while reviewing.
Copyright Complaints (DMCA)
If you believe your copyrighted work has been posted without authorization, please submit a notice consistent with the DMCA to legal@camptrask.com including: (1) identification of the work; (2) the specific photo/URL; (3) your contact information; (4) a statement of good-faith belief; and (5) a statement under penalty of perjury that you are authorized to act. We will review promptly.

No AI Training or Facial Recognition
- We do not use submitted photos to train AI models.
- We do not perform facial recognition on submitted photos.
- By request, and where feasible, we can blur faces or identifying details in specific images.
Retention
Photos remain published while relevant to our albums and camp operations. If a photo is removed, we take it down from public view promptly. Backups or cached copies may persist for a limited period but are not republished.
